Your Role
As our Executive Assistant, you’ll be the cornerstone of support for our management
team, ensuring their days run smoothly and their goals are met with precision. Your
role is more than just managing schedules — you’ll be a trusted partner, a problem-solver,
and an integral part of our team’s success. This is a full-time position based in
our Las Vegas office.
Principal Activities:
- Be the Ultimate Gatekeeper: Manage calendars and coordinate schedules,
keep the team on track with appointments, activity, and meetings. Prioritize
emails and communications to ensure urgent matters are handled promptly.
Keep communication flowing seamlessly across the management team and
clients. - Own the Details: Schedule and organize meetings, prepare agendas, take
meeting minutes, brief management of agenda items, and ensure pre-meeting
task completion. Prepare conference rooms for meeting set-up and
down. Plan and book travel and accommodations for the management team.
Manage architectural license applications and renewals to keep us compliant
and operational. - Elevate Operations: Service the reception desk and activities with a warm
welcome for everyone! Screen phone calls, welcome visitors, order office
supplies, handle mail, and complete basic IT helpdesk needs – escalate to IT
when needed. Oversee booking and maintenance for company apartments
and vehicles. Assist with event coordination. Provide general administrative
support. Assist with special projects as needed. - Keep Finances on Track: Assist with accounts receivables invoicing,
reconciliation, and expenditure tracking. Support the management team by
tracking and reporting billable hours.

Teams, and Outlook) - Strong people skills and ability to work well within a team environment while
maintaining confidentiality. - Education: Preferred bachelor's degree in architecture, business, marketing,
or communications. - Experience: At least 5 years of successful EA and administrative experience.
